Written for the team manager who volunteered to "handle the jerseys" — how names and numbers actually get on a jersey, the one spreadsheet that prevents 90% of order problems, and how far ahead of your season opener you really need to order.
Jersey orders fail differently than t-shirt orders. A bulk tee order goes wrong by a few sizes; a jersey order goes wrong by a misspelled surname on the back of one specific player's jersey, discovered at the season opener. The difference is personalization: every unit in a roster order is unique, so every unit is a chance for an error. This guide covers the decisions and the paperwork that keep a roster order clean — based on the team orders we run for Montreal-area hockey, soccer, softball, and rec leagues.
Almost every question about jersey pricing and durability comes down to which of these two routes you're on.
With a sublimated jersey, the entire design — colours, stripes, logos, sponsor marks, and each player's name and number — is dyed directly into the polyester fabric in one pass. Because the personalization is part of the design file rather than a physical add-on, a roster of 18 unique name/number combinations costs the same to produce as 18 identical jerseys. Nothing sits on top of the fabric, so there's nothing to crack or peel in the wash. The trade-offs: it only works on polyester (which is what performance jerseys are made of anyway), and it's a cut-and-sew product, so lead times are longer.
The classic route: you pick a blank jersey from a catalog (poly mesh, pique, or a replica cut), and names and numbers are heat-applied as vinyl or stitched twill, priced per jersey as an add-on. It's faster and cheaper for small rosters, and it's the only option when a player joins mid-season and needs one jersey to match an existing set. The trade-off is durability: pressed vinyl sits on top of the fabric and can lift or crack over years of aggressive washing, and twill adds weight.
| Sublimated | Stock jersey + heat-press | |
|---|---|---|
| Names & numbers | Built into the design, no per-unit add-on | Priced per jersey as an add-on |
| Design freedom | Unlimited — gradients, sponsor walls, any colour | Limited to catalog colours + applied graphics |
| Durability | Dye is in the fabric; won't crack or peel | Vinyl can lift/crack over years of washing |
| Mid-season add-ons | Harder — small reorders cost more per unit | Easy — press one more blank |
| Typical lead time | 3–5 weeks after design approval | 1–2 weeks |
| Sweet spot | Full team kits, multi-season programs | Small rosters, budget leagues, replacements |
Every jersey problem we've ever had to fix traces back to roster data arriving in fragments — a text with three names, an email with two more, a size change in a voicemail. The fix is boring and it works: one spreadsheet, one owner (you), submitted once.
Then have one other person proofread the sheet against the registration list before it goes out. Every misspelled name we've ever printed was spelled that way in the file we received.
Rules vary by sport and league, so treat this as a checklist of things to look up in your league handbook before you approve artwork — not as the rules themselves:
Send us the relevant handbook page with your quote request and we'll spec the artwork to match — it's much cheaper than reprinting a set the league rejects.
Across the industry, custom sublimated uniforms typically take 2–4 weeks to produce after the design is approved, and the design/revision phase adds 1–2 weeks before that — which is why the standard advice is to start 6–8 weeks before you need jerseys in hand. Fall is the crunch: from September to January, demand across the industry stretches production times further. Here's the schedule we recommend:
| Weeks before first game | What should be happening |
|---|---|
| 8 weeks | Request quotes, pick jersey model and decoration route, check league rules |
| 7 weeks | Design and mockup revisions; start collecting roster sizes |
| 6 weeks | Approve final mockup; submit the completed roster spreadsheet |
| 5–2 weeks | Production (sublimated cut-and-sew: 3–5 weeks; stock + press: 1–2 weeks) |
| 1 week | Delivery buffer; check every jersey against the roster sheet on arrival |
Treat these as illustrative ranges to frame your budget, not a quote — jersey model, quantity, and decoration complexity move the number, and industry-wide pricing for custom team jerseys spans roughly $15 to $80+ per jersey depending on those choices. For a typical adult rec-league roster of 15–20:
The comparison that matters isn't jersey vs jersey — it's total roster cost over the seasons you'll use the design. A sublimated set that costs more up front but survives three seasons without a reprint frequently beats a cheaper set replaced every year. If you're weighing fabric options for practice wear alongside the kit, our fabric guide covers the cotton/poly decision.
Send us your sport, roster size, and first-game date — we'll recommend a jersey route, send the size chart and a roster template, and quote it. Browse styles on our jerseys page first if you want a head start.
